Payment and Cancellation:
Payment Requirement: Full payment for tennis lessons is required at least 24 hours in advance of the scheduled lesson time.
Refundable Period: Private Lessons are are fully refundable if the cancellation is made at least 24 hours prior to the scheduled lesson time.
Non-Refundable Period: If a cancellation occurs within 24 hours of the scheduled lesson time, payments are non-refundable and non-transferrable unless cancellation is due to weather or an emergency.
Cancellation Procedure: To cancel a tennis lesson and request a refund, please notify us at least 24 hours in advance of the scheduled lesson time. Cancellations can be made by emailing alexandra@secondservecville.com.
Late Arrivals: Please note that arriving late to a scheduled lesson does not entitle the participant to a refund or rescheduled lesson. The full lesson duration may not be guaranteed if the participant arrives late.
Exceptions: In exceptional circumstances such as medical emergencies or extreme weather conditions, we may consider refund requests on a case-by-case basis. Documentation or evidence may be required to process such requests.
Group Lesson Policies:
Non-Refundable and Non-Transferable: Group lesson fees are non-refundable and non-transferable. Once payment is made for a group lesson package, it cannot be refunded or transferred to another individual or lesson package. No credits will be provided for missed lessons except when canceled due to weather-related issues or an emergency. Credit must be used within 4months of the cancellation; use it or lose it policy.
Participant Availability: Refunds will not be provided if a student is unavailable for all scheduled dates of the group lessons. It is the responsibility of the student to ensure their availability aligns with the scheduled lesson dates before enrolling in the group lesson package.
Make-Up Lessons: In the event that a student misses a group lesson due to personal reasons or scheduling conflicts, make-up lessons or refunds will not be provided. Group lesson packages are designed to accommodate a set number of lessons within a specific timeframe, and missed lessons cannot be rescheduled or refunded.
Advance Notice for Absences: While refunds are not provided for missed group lessons, we encourage students to provide advance notice if they are unable to attend a scheduled lesson. This allows us to plan accordingly and make necessary adjustments to the group dynamics, if possible.
Lesson Cancellation by Instructor: In the rare event that a group lesson is canceled by the instructor due to unforeseen circumstances such as inclement weather or instructor illness, efforts will be made to reschedule the lesson at a later date or provide alternative arrangements. In such cases, participants will be notified as soon as possible regarding the cancellation and any subsequent plans.
Inclement Weather:
Assumption of Lesson: Unless contacted directly by the coach, clients must assume that the tennis lesson is scheduled to proceed as planned, regardless of weather conditions.
Cancellation Due to Active Rain: In the event of active rain or severe weather conditions that pose a risk to safety, tennis lessons will be canceled with at least one hour's notice before the scheduled lesson time. Clients will be notified promptly by the coach via text or email.
Cancellation Due to Heat Advisory: During a heat advisory (typically above 100°F), prioritize safety with breaks and hydration during tennis lessons. Lessons will be cancelled or rescheduled without penalties due to this.
Partial Credit for Last-Minute Storms: If unexpected storms or adverse weather conditions arise while tennis lessons are already in progress, and more than 30 minutes of lesson time remain, a partial credit will be provided to the client. The credit will be calculated based on the remaining lesson time and can be applied towards future lessons.
Safety Precautions: The safety of our clients and coaches is of utmost importance. Lessons will not be conducted during lightning storms or other hazardous weather conditions. The decision to cancel or continue a lesson will be made with safety as the top priority.
Communication: It is essential for clients to ensure that their contact information is up-to-date and accurate. Any changes in contact details should be promptly communicated to the coach to ensure timely notifications regarding weather-related cancellations or changes to lesson schedules.
Alternate Caretaker Contact Information: If a minor participant is being transported to the tennis lesson by an alternate caretaker other than their legal guardian, it is imperative that the client provides the contact information of the alternate caretaker in advance. This ensures that the alternate caretaker can also receive timely notifications regarding weather-related cancellations or changes to lesson schedules.
Safety:
Warm-Up and Stretching: Prior to engaging each lesson, participants should warm up properly with light cardio exercises and perform stretching routines to prepare muscles and joints for physical exertion.
Appropriate Footwear: Participants should wear proper tennis shoes with non-slip soles and adequate ankle support to prevent slips, trips, and falls on the court.
Hydration: It's important to stay hydrated during tennis activities, especially in hot or humid conditions. Participants should bring water bottles and take regular hydration breaks to prevent dehydration and heat-related illnesses.
Sun Protection: Participants should apply sunscreen with a high SPF before outdoor tennis sessions to protect against sunburn and skin damage. Wearing hats, sunglasses, and lightweight, breathable clothing can also provide additional sun protection.
Proper Technique: Coaches will instruct participants on the proper techniques for tennis strokes, footwork, and positioning to minimize the risk of strain or injury. Emphasizing proper form and technique can help prevent overuse injuries and improve performance.
First Aid Kit: A well-stocked first aid kit will be readily available, containing basic supplies such as bandages, antiseptic wipes, ice packs, and disposable gloves to address minor injuries.
Supervision and Monitoring: Coaches will monitor participants during tennis activities to ensure compliance with safety protocols, provide guidance and feedback on technique, and intervene if unsafe behavior is observed.
Rest and Recovery: Participants should listen to their bodies and take breaks as needed to prevent fatigue and avoid overexertion. Adequate rest and recovery are essential for preventing injuries and maintaining overall health and well-being.
Equipment:
Footwear: All students participating in tennis lessons must wear appropriate tennis shoes with non-marking soles and adequate ankle support. Street shoes, sandals, or other non-tennis footwear are not permitted on the court to ensure safety and prevent injuries.
Racket Requirement: Students are required to bring their own tennis racket to each lesson. The racket should be appropriate for the student's age, size, and skill level. If a student does not have a racket, they can rent one from the coach for a fee of $10 per lesson.
Water and Sun Protection: It is recommended that students bring a water bottle to stay hydrated during lessons, especially in hot or humid conditions. Additionally, students should apply sunscreen with a high SPF, wear hats, and use sunglasses to protect against sunburn and sun exposure.
Responsibility for Equipment: Students are responsible for the care and proper use of all equipment provided by the coach, including rental rackets. Any damage to rental rackets caused by negligence or misuse will be the responsibility of the student, and repair or replacement fees may apply.
Coach-Provided Equipment: The coach will provide all other necessary equipment for tennis lessons, including tennis balls, cones, and training aids. Students are expected to use this equipment responsibly and follow any instructions or guidelines provided by the coach for its use.
Liability Waiver:
Requirement: All students participating in our tennis programs are required to sign a liability waiver at the time of registration. By signing the waiver, students acknowledge and accept the inherent risks associated with participating in tennis activities and agree to release the organization, its employees, instructors, and affiliates from any liability for injuries or damages that may occur during participation.
Acknowledgment of Risks: Tennis, like any physical activity, carries inherent risks of injury or harm. These risks may include, but are not limited to, sprains, strains, fractures, and other injuries resulting from slips, falls, collisions, or overexertion during practice, drills, or gameplay.
Release of Liability: By signing the liability waiver, students agree to release the organization, its employees, instructors, and affiliates from any liability for injuries, damages, or losses sustained during participation in tennis activities, regardless of whether such injuries, damages, or losses are caused by negligence or other actions.
Assumption of Risk: Students understand and acknowledge that participation in tennis activities involves certain inherent risks, and they voluntarily assume all risks associated with such participation, including the risk of injury, illness, or property damage.
Representation of Fitness: Students represent that they are physically fit to participate in tennis activities and do not have any medical conditions or disabilities that would prevent them from safely engaging in such activities. Students agree to notify the organization of any changes to their health or medical status that may affect their ability to participate safely.
Indemnification: Students agree to indemnify and hold harmless the organization, its employees, instructors, and affiliates from any claims, liabilities, damages, or expenses, including legal fees, arising out of or related to their participation in tennis activities.
Parental Consent: For students under the age of 18, a parent or legal guardian must sign the liability waiver on their behalf and assume all responsibilities and obligations outlined in the waiver.
Review and Understanding: Students acknowledge that they have read and understand the terms of the liability waiver, and they voluntarily agree to be bound by its provisions.
By signing the liability waiver, students and their parents or legal guardians (if applicable) acknowledge and accept the risks associated with participating in tennis activities and release the organization from any liability for injuries, damages, or losses incurred during participation. We prioritize the safety and well-being of all participants and appreciate your cooperation in adhering to these policies.
Social Media Consent:
During the registration process, students will have the option to indicate whether they consent to being featured on the organization's social media channels, such as Facebook, Instagram, or Twitter.
Yes: If a student selects "Yes" when registering, they give consent for the organization to feature their image, videos, or other content related to their participation in tennis activities on official social media channels. By selecting "Yes," the student acknowledges that their content may be shared publicly and may be viewed by other users of the social media platform.
No: If a student selects "No" when registering, they indicate that they do not consent to being featured on the organization's social media channels. In such cases, the organization will respect the student's privacy and will not share any content related to their participation in tennis activities on social media.
Purpose: The organization may use content featuring students on social media for promotional purposes, including but not limited to highlighting achievements, showcasing training sessions, or sharing updates about upcoming events. However, the organization will always prioritize the privacy and preferences of its students.
Revocation of Consent: Students have the right to revoke their consent to be featured on social media at any time. If a student wishes to withdraw their consent after initially granting it, they can notify the organization, and their content will be promptly removed from social media channels.
Other Terms:
Code of Conduct: Coaches, students, and parents are expected to demonstrate sportsmanship, respect, and fair play at all times, both on and off the court. This includes treating others with dignity, courtesy, and consideration, regardless of skill level or competitive status.
Privacy Policy: Personal information provided to us is used solely for the purpose of delivering tennis coaching services, communicating with students and parents, and managing administrative tasks related to lessons and bookings. By providing your contact information, you agree to receive marketing communications from us, including updates, promotions, and offers related to our tennis coaching services. You may opt out of receiving marketing communications at any time by contacting us.
Termination Policy:
Non-Payment: In the event of non-payment for tennis coaching services, the student will be notified of the outstanding balance and provided with a grace period to settle the payment. If payment is not received within the specified timeframe, the student's participation in tennis lessons may be suspended or terminated until the outstanding balance is settled.
Misconduct: Any misconduct by a student, including but not limited to disruptive behavior, disrespectful conduct towards coaches, staff, or other participants, or violation of the Code of Conduct or other policies, may result in disciplinary action, up to and including termination of enrollment in tennis coaching programs. The severity of the misconduct and any previous incidents will be taken into consideration when determining the appropriate course of action.
Refunds: In the event of termination of enrollment due to non-payment, misconduct, or breach of policies, no refunds will be provided for any fees or payments already made for tennis coaching services. Any outstanding balances owed to the tennis coaching business will remain due and payable.
